1. Introduction
BeShield SRL attaches particular importance to the protection of your personal data. This policy describes how we collect, use, and protect your data, in accordance with the General Data Protection Regulation (GDPR — EU 2016/679) and the Belgian law of 30 July 2018 on the protection of natural persons with regard to the processing of personal data.

We collect the following data:
Via the contact form
- First and last name
- Professional email address
- Phone number (optional)
- Name of the institution / organisation
- Job title
- Subject and content of the message
As part of an order or quote
- Full professional contact details
- Delivery and billing address
- Company number (BCE) and VAT number
- Banking details (for SEPA direct debit in case of lease)
Technical data (automatic)
- IP address, browser type, language, pages visited (see cookie policy)
4. Purposes of processing
Your data is processed for the following purposes:
- Responding to your requests (quote, contact, demonstration)
- Performing contracts (orders, deliveries, invoices, warranty)
- Managing the commercial relationship (follow-up, support, after-sales)
- Complying with legal obligations (accounting, taxation)
- Improving our website and services (traffic analysis)
5. Legal basis
Depending on the case, processing is based on:
- Performance of a contract (order, quote, delivery)
- Legal obligation (invoicing, accounting)
- Legitimate interest (statistical analysis, reasonable B2B prospecting)
- Your consent (non-essential cookies, newsletter)
6. Data recipients
Your data is strictly reserved for BeShield SRL and its technical subcontractors required to perform the services:
- Website host (Lovable, Infomaniak)
- Professional email service (Google Workspace / Microsoft 365)
- Invoicing and accounting software
- Logistics carriers (DPD, bpost, etc.)
- Bank (for SEPA direct debits)
No data is resold or transferred to third parties for commercial purposes.
7. Transfer outside the EU
Some of our subcontractors may be located outside the European Union. In this case, BeShield ensures that appropriate safeguards are in place (standard contractual clauses of the European Commission).
8. Retention period
- Prospect data (unsigned quotes): 3 years after the last contact
- Customer data (executed orders): 10 years (Belgian accounting obligation)
- Technical data (logs, cookies): up to 13 months
9. Your rights
In accordance with the GDPR, you have the following rights:
- Right of access to your data
- Right to rectification of inaccurate data
- Right to erasure (« right to be forgotten »)
- Right to restriction of processing
- Right to portability of data
- Right to object to processing
- Right to withdraw consent at any time

10. Complaint
If you consider that your rights are not respected, you may file a complaint with the Belgian Data Protection Authority:

BeShield implements reasonable technical and organisational measures to protect your data against any loss, unauthorised access, disclosure, alteration or destruction.
